Vista Only Knows What Someone Keys In
Viewpoint Vista is one of the most capable financial systems in construction. It ties job cost, subcontracts, equipment, and payroll together in ways a generic ERP cannot.
Viewpoint Vista is one of the most capable financial systems in construction. It ties job cost, subcontracts, equipment, and payroll together in ways a generic ERP cannot. Yet every figure in Vista got there because someone typed it, scanned it, or approved it. The ledger is only as reliable as the paperwork that feeds it, and that paperwork lives on job sites, in truck cabs, and in crowded inboxes.
This series follows a single invoice from the jobsite to Vista. It passes through four gates, and each post addresses a pain point at each gate.
The Gatehouse at Every Entrance
Picture a jobsite gatehouse. Every truck stops, the driver shows a delivery ticket, and someone confirms that the load belongs on this job. The system works because trucks arrive one at a time.
Accounts payable doesn't get that luxury. A supplier invoice lands in a shared inbox while the matching delivery ticket is still on a clipboard at the yard. A subcontractor pay application waits on an unsigned lien waiver. A project manager is asked to approve a bill for a site he has not visited in a week. Invoices arrive at every gate at once, and the AP team is expected to staff all of them.
Three Pains Every Vista Contractor Can Name
Manual Coding
Each invoice needs a job, phase, and cost type before it can post. When coders key those values by hand, accuracy depends on attention, and attention runs short at month-end.
Scattered BOLs and Tickets
Bills of lading and delivery tickets prove that materials actually arrived. When they sit in folders, photo rolls and glove boxes, matching them to invoices becomes a scavenger hunt.
Compliance Gating Payment
A subcontractor cannot be paid without a current certificate of insurance, the correct lien waiver, and, on public work, certified payroll. Tracking those documents outside the payment process turns every check run into a manual review.
Why the Pressure Is Building
According to ENR, revenue for its 2026 Top 400 contractors rose 11.8 percent. More work means more invoices, more receipts, and more subcontractor paperwork. Meanwhile, labor remains tight in the field and in the back office alike. Adding headcount simply to key data is neither affordable nor, in many markets, possible. Volume is rising faster than the people available to process it.
The Fix: Capture, Match, Then Post
The answer is not to work faster at the keyboard. It is to remove the keyboard from routine work. Three principles guide the approach covered in this series:
- Capture at the source. Invoices, tickets, and receipts are digitized where they originate, whether that is an inbox, a scanner, or an EDI feed.
- Match before approval. Documents are checked against the purchase order and receipt before anyone is asked to sign off.
- Post without re-keying. Clean, verified data moves into Vista exactly as it was captured and confirmed.
REQUORDIT delivers these principles through two products built to work with Vista. RQ CloudOCR captures and codes documents at intake, and RQ AP Flow matches, routes, and approves them before they post.
What Comes Next
Part 2 visits the coding desk and explains why reviewers should handle exceptions instead of keying every field. Part 3 examines approvals and the problem of invoices that are approved but cannot post. Part 4 closes the series at the final gate: compliance and payment.
